New York Skyline Challenge & Charity Gala TERMS AND CONDITIONS
These Terms & Conditions apply to all participants taking part in the New York Challenge organised by Brave Wolf Cancer Foundation for Children (“the Charity”) in partnership with Firestorm Experiences (“the Event Partner”).
By registering interest, submitting an application, or taking part in the New York Challenge, participants confirm that they have read, understood, and agree to be bound by these Terms & Conditions.
1. Eligibility
1.1 Participants must be aged 18 or over at the time of the event.
1.2 Participation is subject to availability and acceptance by the Charity.
1.3 Places are limited and may be withdrawn at the Charity’s discretion.
2. Registration & Deposit
2.1 Registration opens in February 2026.
2.2 A £200 non-refundable deposit per person is required at the point of formal registration.
2.3 The deposit covers administration, permits, and applicable US taxes.
2.4 The deposit is non-refundable under any circumstances, including withdrawal, failure to fundraise, inability to travel, or visa refusal.
3. Fundraising Requirement
3.1 Each participant must raise a minimum fundraising target as specified by the Charity (the “Fundraising Target”).
3.2 Fundraising must be completed within the designated fundraising period set by the Charity.
3.3 Participants must reach 100% of the Fundraising Target to qualify for the trip.
3.4 Failure to reach the full Fundraising Target by the deadline will result in disqualification from the trip, and the Charity will not be responsible for covering any travel or accommodation costs.
3.5 All funds raised must be paid directly to the Charity via approved platforms (e.g. JustGiving or GoFundMe).
3.6 All donations are non-refundable and cannot be transferred to another individual.
4. What the Charity Covers (Upon Successful Fundraising)
Once the Fundraising Target has been met in full, the Charity will cover:
Return economy flights from the UK to New York
Hotel accommodation (shared basis unless otherwise stated)
Entry to the New York Challenge event
Entry to the charity gala dinner cruise (food and drink included)
4.1 The Charity reserves the right to determine travel dates, flight times, accommodation, and itinerary details.
4.2 No cash alternative will be offered for any part of the experience.
5. Costs Not Covered
Participants are responsible for:
The £200 deposit
Travel insurance (mandatory)
Personal spending money
Any additional accommodation nights
Any costs incurred due to failure to meet fundraising targets
Any costs arising from failure to obtain travel documentation or visas
6. Travel Documentation & ESTA Visa
6.1 Participants are solely responsible for ensuring they have valid travel documentation.
6.2 This includes a valid passport and approval under the US ESTA Visa Waiver Programme.
6.3 The Charity and Event Partner do not apply for ESTA visas on behalf of participants.
6.4 Failure to obtain an approved ESTA, or denial of entry to the United States for any reason, will result in forfeiture of the participant’s place with no refund of deposit.
6.5 The Charity is not liable for any costs incurred due to visa refusal or immigration issues.
7. Fitness & Health
7.1 Participants confirm that they are medically fit to take part in the challenge.
7.2 Participants are responsible for seeking medical advice if unsure of their fitness.
7.3 The Charity accepts no liability for injury, illness, or health complications arising from participation, except where required by law.
8. Insurance
8.1 Comprehensive travel and medical insurance is mandatory.
8.2 Insurance must cover participation in a charity challenge event.
8.3 Proof of insurance may be requested prior to travel.
9. Conduct & Behaviour
9.1 Participants are expected to behave responsibly and respectfully at all times.
9.2 The Charity reserves the right to remove any participant whose behaviour is deemed unsafe, disruptive, or damaging to the reputation of the Charity.
9.3 Removal due to misconduct will result in no refund and forfeiture of the trip.
10. Changes, Cancellation & Force Majeure
10.1 The Charity reserves the right to amend the itinerary, dates, or event details where necessary.
10.2 In the event of cancellation due to circumstances beyond the Charity’s control (including but not limited to travel restrictions, weather, or force majeure), the Charity will not be liable for any additional costs incurred by participants.
10.3 The Charity will endeavour to offer alternative arrangements where possible but cannot guarantee this.
11. Withdrawal by Participant
11.1 Participants may withdraw at any time but will forfeit their deposit.
11.2 Fundraising monies raised remain the property of the Charity and are non-refundable.
12. Media & Promotion
12.1 Participants consent to the use of photographs, video, and testimonials taken during the event for promotional purposes.
12.2 No compensation will be payable for such use.
13. Liability
13.1 Participation is undertaken at the participant’s own risk.
13.2 The Charity’s liability is limited to the extent permitted by law.
13.3 Nothing in these Terms & Conditions excludes liability for death or personal injury caused by negligence.
14. Governing Law
14.1 These Terms & Conditions are governed by English law.
14.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
